TIMETABLE/ GUIDE 

This listing is intended as a reminder of important dates and activities
for the Squadron year.  It is not expected that it is complete
but only to be guide.  Each Officer or Committee Chair should fill in his/her
activities as necessary. 

 JANUARY

7th 1800  ExComm
21th 1930, Membership Meeting
22th Complete Squadron Activities & Status Report (Green Sheet)
  • Planning meeting with old Bridge and new Bridge Officers, establish objectives for new year,and finalize staffing actions for committee chairs. Prepare and finalize Squadron Activities Calendar. Forward copy of calendar to District Squadron Activities Chairman and District Commander Nominee.

  • If necessary, process supplemental list of Merit Mark recommendations and forward to Area Monitor.

  • Attend registration for Spring Boating classes.            

  • Begin planning for the Squadron Change of Watch, including the guest list. Send out appropriate invitations.

  • The SEO should be conducting the Spring Boating Class registrations.

  • The Secretary should finalize reservations for February District Winter Council meeting.  Forward District Directory information to District Secretary. Process reservations for District Spring Conference 4-6 April in Richmond, VA.

  • Chatter Editor should complete all necessary actions for the Snyder Award Competition.

  • The Squadron Nominating Committee should assure that all selections for Squadron Elected Officer Slate are made and a Committee Report is made to ExComm.

  • Make reservations for February District Winter Council Meeting in February.

FEBRUARY

18th Annual Membership Meeting- Election of Officers; Straw vote on Name Change
  • Fill Committee Chairs as early as possible. Submit the list of Chairpersons and Squadron Officers to USPS headadquarters on Form 104.

  • Forward the list of Squadron Officers to the District Secretary for the District Directory and Roster before Winter Council Meeting.

  • Send invitations to Commanders of neighboring Squadrons for your Squadron Change of Watch. Include, as appropriate, and as authorized, invitations to local Yacht Clubs, US Coast Guard and US Coast Guard Auxiliary.

  • Collect final Squadron Co-op Charting reports to assure they are submitted to the
    District Coop Charting Chair in time to be credited by 31 March.

  • Commander and members should have made reservations for the Spring
    Conference.

  • Contact District Representative to your Change of Watch and make the necessary
    arrangements for their visit (including copy of the C of W script).

  • Complete MM80/81 (Merit Mark Forms) for first three months of the year. (All Squadron Committee's should report to Merit Mark Chairman).

  • Boating Activities tentative schedule should be established.

  • Begin preparations for Safe Boating Week and for Cooperative Charting Program.

Long Range Planning Report

The Squadron PRO and SEO should work on publicity for Fall Boating Classes.

SEO.  Make sure all course material is on hand for Fall classes.

Chatter deadline for September issue

Schedule of Fall Boating classes

Check progress of Commanders Cup, Chapman Scrapbook and the Roger Upton Ward projects.

31st Extending until the 1st & 2nd of September D/5 Sail Regatta in Cambridge, MD. Forms to be found in MARK 5.
The SEO should have completed work on the Fall Boating classes and advanced classes for members.
  • Merit Mark info for second three months of the year, report to Merit Mark Chairman.

SEPTEMBER

15th District dues assessment due - to be sent to District Treasurer (Assessment is for members of record 1 September).

Forward names of Henry E. Sweet Award candidates to the District Education Officer, (consult your SEO).

Scheduled Functions Report with request for District Officer attendance to District Chairman of Squadron Activities  (Form enclosed - yellow).

  • Start Fall Public Boating and Advanced and Elective classes.

  • Submit information to DEO for Prince Henry, Caravel and Commanders' trophies for Advanced Elective Grades.

  • The Secretary should forward reservations for D/5 Fall Education Confererence.

  • Nominating Committee begins a slate of Squadron Officers

  • Complete MM80/81 (Merit Mark Forms) for second three months of the year, report to Merit Mark Chairman).

OCTOBER

  • Check on the progress of Change of Watch Ceremony.

  • Review adequacy of insurance policy and have Treasurer pay same.

  • The Commander and the Secretary should forward the list of Delegates to D/5 Secretary. This list is for forthcoming D/5 Winter Council and Spring Conference

  • CommComm Chair to forward sufficient copies of Chatter to Parade of Publications at National Meeting (Information is in ENSIGN).

  • The SEO should review the educational needs of Squadron and initiate preparations for registration of Spring Educational classes.
