This workbook is intended to provide a quick analysis of district or squadron membership with regard to age, generations and gender using the output from a simple DB2000 query.  The output, or results, include a one-page summary and three pie charts (the last four sheets in this workbook).

 

 

1)

Using DB2000, perform a "Query Roster" selecting all members as the criteria.

2)

Export the "Birthday" and "Sex" fields from the query of all members to a .csv file (.csv is the default export file type).  Name the file whatever you wish, but take note of where you save it.

3)

Open the USPS Quick Membership Analysis template (this workbook template) if you do not already have it open.

4)

Using the "Open" command from within Excel (found under the "File" menu), open the .csv file you created using DB2000.

Select and "copy" all of the cells in the two columns containing the birthdays and the sex.  Only copy the data cells (blanks included…some records do not have birthdays or sex listed), do not copy the column headers.

Go to the"Data Entry" worksheet in this workbook and put the cursor on cell A5 if it is not already at that position.  Instead of simply doing a "Paste," use the "Paste Specisl" command (found under the "Edit" menu) and select "Values" to paste the birthdays and sex data from the .csv file into this workbook template (this will preserve the format of the "Data Entry" worksheet)..

Also on the "Data Entry" worksheet, type in the name of the group (e.g., District 10 or Minnetonka Power Squadron) in cell C2.

Review the out pages to ensure data has been processed.

9)

Save your work.  Because the workbook is an Excel template, you will be promted to give the file a new name and specify the location to which the file is to be saved.

10)

If desired, print the output pages.  This can be accomplished in one step by selecting the last four tabs in the workbook simultaneously (hold the shift key down and click on each tab) and then selecting "Print " from the "File" menu..
