This form may be used to make a complete submission of district or squadron officers or to perform an update. Before starting you must have the following items:
- District number or squadron account code.
- Your certificate number.
- The "Updater" or "Master" password.
- The certificate number of each job holder.
- The "watch year" the submission pertains to.
- When the submission is supposed to take effect.
If you are submitting a slate for a new watch year, enter the date of the change of watch. Note that the "watch year" to be entered is the national watch year which runs from February to January.
If you are submitting a correction or update, leave the change of watch date blank and the changes will be "immediate". While the data is updated immediately, the change will not be visible for 24 - 48 hours.
After identifying which district/squadron these entries apply to, identifying when the changes are to take place, and identifying yourself, there are three steps which may be taken to complete the submission.
- Load - Clicking on the "Load" button will retrieve and display the current job holders. This step is optional. You may enter the certificate numbers for each job you wish to submit. NOTE:Do not attempt to enter the name, this will be filled in when reviewed.
- Review - Clicking on the "Review" button will check the validity of each certificate number entered. If a certificate number is invalid, the words "INVALID CERTIFICATE" will appear in the name field. If all certificates are valid, the "Submit" button will be enabled.
- Submit - Clicking on the "Submit" button will upload those items which have an action specified. "Delete" will replace the current entry for a job and delete the prior entry (it was in error). "Archive" will replace the current entry and retain the prior entry for historical purposes. "Archive" would normally be used when entering a new slate of officers. Even if the job holder remains the same in the new slate, be sure to select "Archive" so that the watch year is updated.
NOTE: An email message will be sent to you reflecting the outcome of your submission. The message is sent to the email address you have in the members database.
Prior to making the actual submission, you may want to test that the link to HQ is operating. Click on the "Test MQ" button and a test message will be sent and the result displayed. If the result is "Received response: 000USPSMQ", the link is operating. Click on your browsers "Back" button which will take you back to the form.
Pending Changes
When a change of watch submission is made, the data is stored on the HQ system but is not visible until after the change of watch. If you have made your submission using this form, you should have received an email containing the submission. For those who have made the submission via DB2000 or have lost the email, there is a "Pending" button provided. Clicking on this button will search a file of pending submissions for the district or squadron specified and load the data into the form. The file is updated periodically, so your data will not be present in the file if it was submitted after the date of the pending file. If you made your submission via hardcopy, the data must be entered at HQ and therefore may not be available for some time after you sent it.
