When you create a file such as a word file, it is easy to copy / paste into
your email window and send it as email. This eliminates the need to attach the
file and assures everyone can open and read the contents. Some folks may not
be able to read a word file for example? However, if the file to too large for
the email client to handle then you have no choice but to send attached as an
attachement.
Now on lists, such as: memcom@usps.org,
the list administrator (me) can set the file size (a filter) which bounces
files larger than the limit set to the administrator for approval. This is a
safety net to help prevent viruses from being spread via a list. In our case I
have is set very low and so far, knock on wood, we have not had a malicious file
get through.
So one is always better to send plain text emails to lists, formatted if
needed, and attachments if files are very large ( 1MB or larger).
