to make.  However, just in case, here is the procedure.

Good morning all, 

    In order to appear better organized and in an attempt to expedite the
meeting, decrease lost time due to organized confusion, and finally, as a
reminder, if needed, please coordinate and ask all of your committee Chairs
and R/Cs to coordinate any awards or special activities  to be presented
with Lew Dance, one of my aides,  who handles the "floor'" activities and
presentations, indicating 
1.) the anticipated time for the presentation, 
2.) where, during the days activities, thr presentation should be made, 
3.) the person(s) who will be the presentor(s) 
4.)  the number of presentee(s), 
5.)  such other information as may be requested.
