Our commander asked us to look into the work involved in setting up an
online roster. We thought our findings might be useful for the group in
general.
Online Roster Capabilities
The online roster provides a summary display, a detailed listing for
each member, a mail list generation capability, an organization chart
display and printout, a squadron calendar display and printout, a hard
copy roster generator, and the capability for individuals to enter
biographical data changes online and to have them emailed to the
squadrons designated IT or membership contract. Access to the online
roster is password protected-a user must enter their certificate number
to gain access.
Roster Host System
The online roster runs on the USPS main server. Websites that are not
hosted on the main USPS site simply add a link to the online roster
tool.=20
So from the webmaster's perspective, it's easy: add a link to the roster
once it's been populated at the USPS main server.
Setting up the Roster
The real work is in installing and populating the roster. There is a
detailed document (linked from http://www.usps.org/national/tools/) that
describes the steps to be taken. The instructions appear
straightforward, but whoever does this should be reasonably computer
literate. I estimate it would take 4 to 6 hours to get this setup.
There are two steps to get started:=20
1. Setup the roster on the USPS site. =20
* You need squadron's HQ 4 digit account number and the squadron
roster password
* This is a step-by-step process to select the functionality that
the roster will support and setup a directory on the USPS site to host
the roster.
2. Upload the squadron roster to the USPS site
* Assumes the roster is stored in DB2000
* Export a CSV file of the complete roster, selecting a swack of
fields
* Upload the file to the USPS roster site either via FTP or a
web-based tool
Ongoing Maintenance
Once the roster is setup, there as manual work whenever the roster
changes. Roster files must be updated on the USPS server from DB2000
when HQ updates are received and biographical data changes must be
entered into DB2000 and download to HQ when they are received via email
from the online roster tool. =20
The second is pretty much business as usual I imagine, in that it's just
a different way of receiving membership updates. So there would be an
extra step in updating the online roster whenever changes are made to
our roster.
Conclusion: =20
This looks like very useful functionality that would give us email list
generation among other things. The setup doesn't sound too bad. It's
hard to judge the cost of the ongoing maintenance w/o knowing how often
we receive membership updates though.=20
I question the fact that there are two sets of information being
maintained here - one at HQ and the other at each squadron (and at each
district). It would make much more sense for HQ to simply setup and
populate these online rosters directly. Or at least to make their
updates directly there rather than have the updates be done twice. But
that is not likely something easily fixed.
